Productivity system - Notion!

All of us have a productivity system, some of us recognise it as one such more than others but everyone has a way of getting things done. Especially in the high value creative/cognitive field, in which, the rules of the game are not as well defined and structured as in regular repetitive mechanical output-based work environments. There it becomes all the more important, to have a systemised way of doing things, that compliments imagination well. The human mind is great at taking instructions and following them, which is why we see every intelligent human creation is about ‘taking instruction, making sense of them and then executing’ on them - from computer programs to mechanical setups: the core principle is shared. Sophistication of organisation system has been found to be in direct correlation with quality, quantity and even accuracy of delivery. It is important therefore to keep analysing the system that we may have inadvertently deployed, periodically, to identify its shortcoming, making necessary changes/upgrade to dial it to the needs of the hour, the assignment or even the job that we might be in. Before, we get to the description of building blocks of research backed ideal productivity system, let’s pause to understand the most common vulnerability of popular digital practices. There are a ton of application out there, each promising to do something better than its competitors, lured by the clutter we end up creating a system that is highly disintegrated and distributed: ideas in one place, the task at another and the schedules in a completely different and disconnected platform. Unknowingly the system that should work for us begins to put us to work for it, instead. I do not need to stress the benefits of integration and importance of centralised management, to my readers.

Analogue methods work for unidirectional requirements, a happy scenario in which one is doing just one thing at a time and is not required to juggle between different, conflicting and often confusing needs of the work at hand. I used to be on the analogue arrangement for most of my academic years, but towards the end when ‘things to do’ started running beyond an A4 size paper on a day to day basis, I realised that diving through a pile of paper was not an efficient way of making things work for me. That is when, my quest for conducting my business digitally started; 2 decades forward, to this day - the pursuit is still on. But I have made progress, my personal productivity system is not as wretched as it once used to be. In last two decades, the technology as well as my understanding of it, both have improved a lot. I must admit that evolution on part of the technology based solution has far exceeded my own understanding, though, and that is a happy thing to have happened, in this isolated case. In every other scenario one would expect the planner to be smarter than the plan or the process of planning itself.

Believe it or not, we have come to a world in which, a person is considered just as wise as his organisation system, just as thorough as his action planning, as meticulous as his execution and only just as useful as the outcome of his/her action. Work in a way has become our new signature. This phenomenon is new so we can’t be sure at this stage if it is a good thing or not, perhaps as a race we need to move on this path for at least a few more decades, for both pros and cons of the new ways of working to play itself out, completely. We are in proverbial Bronze Age of doing it all with technology, at this stage in our evolution.

Let’s dive into all four building blocks of the ideal organisation system, or as woke and cool kids say “GTD”.

๐Ÿ’กCapture Idea(s)

This is perhaps the most important part of the puzzle, as without an idea there is nothing. Everything starts with an inkling. The human mind is unique in ways that it thinks, it is known to make strange and sometimes even seemingly unrelated connections/suggestions (though they actually are not). Best ideas often come about by merging two or more ideas sometimes even very different approaches together. Therefore, it becomes necessary to have a place digital or otherwise to store all the ideas, in a manner in which mix-matching of ideas is not just possible but also quick and convenient. A system in which one can try various combinations together. Both zoom in or zoom out as the case may be to land at the most optimum ground, in the thought experiment. The place of storage should also have indexing implements. The vitality of search-based retrieval cannot be overstated either. Otherwise, we are looking at a lost notebook scenario - “I had many ideas but they are lost and I do not know where they are”.

๐Ÿ—„️ Refine Organise

For an idea to become viable, it needs to be refined, churned and supported with data, information, and arguments. This phase of work is resource and time-intensive, depending upon the urgency of the task, its complexity and enormity; it could end up taking months if not weeks. The idea may have to be cross-referenced with contents/informations that may reside in a variety of distributed systems both on the world wide web and in printed literature (Books, magazine, white papers, academic research journals etc). Unless you’re living under a rock or are tucked away in a secure bunker somewhere in a desert, on a top secret mission: you’ll need to collaborate with other people, to make an idea come to life. So the platform/tool that you should elect should essentially have the ability to have multiple people come over and contribute. You’ll know how high or low is the possibility of you needing to work with other people working out of different geographies and times zones is in your line of work, therefore there may be a need to have digital collaboration as a feature. I should just mention the words, ‘security and encryption’ and let you establish the importance of these in your workflow.

⛑️ Make Actionable

An idea has been considered, worked upon with other people/resources and is now refined. You’ll now need to break the thing into bite-sized action items, aggregated plan of action, as it were. For an action to make sense, it should have a predecessor (other than for the first task), a successor (other than for a single step action), an owner, a timeline and a sequence number in the overall plan. It works like a charm if you can have, the project team also have easy, secure and need-based access to the research material and the various variables that went into making the plan come about so that they can benefit from the context. So you would need not just a task manager for it, but a platform with the ability of remote tracking, project management and also reporting.

Need I say more, about the criticality of scheduling, for executing a complex idea you will need a view of the timeline. The possibility of people engaged in the project along side doing other things is very real, and therefore you need to block time for the project; Thus making scheduling inevitable. Visibility of timelines also works as a reminder for people involved and encourages them to make it happen in time. It keeps the deadline in check and also keeps a log of delays which might creep in, for reasons outside the control of the team working on the project (people have been considered sincere in this assumption๐Ÿ˜Š)

I bet you find similarities in and sympathies for, this mess of a workflow.

While the system worked, it was highly fragmented and demanded a lot of work in making sense of it all. Good memory played a key role in making things happen. There have also been moments in which I’ve got exasperated with all the shifting and switching that I had to do, say nothing about the cost of context switching.

My old workflow was serviceable but lacked panache, so I kept looking until I found, Notion, all in one workplace.

It has every feature, that I needed to make my workflow work for me. 

  • A simple, distraction-free block based note-taking canvas to capture ideas.
  • Data bases, cross linking and roll ups to cross-refer ideas and content.
  • Calendar view, to do, Gantt chart, and ability to assign tasks to other people.
  • The ability to store documents, collaborating with other people 
All of this is a web-friendly cloud based platform!

Ever since, I moved to notion, it has simplified my workflow greatly and I now, concentrate on ideas more and the administration related to ideas less, thanks to the all in one workspace.

“The guy I know” is eternally thankful for everything that he has, he bends in a smile over all that he doesn’t, yet. He believes that what he doesn’t have is what makes his present worth going after .. if he had all that he desired for .. he remarks, his life wouldn't be as exciting as it is today. I’ve known him for as long as I have known myself .. and it is in moments like this, the fictional character takes over me and we become one; Alike! 


We see what we look for:  .. there is an abundance of everything everywhere .. all around us, here and now.


“Never in the history of time has human life been as good as it is in this moment, this truly is the finest that it has ever felt”: If this is not what you naturally think .. what you have is called ‘gratitude-deficiency-syndrome (made up the acronym). We’re going to together explore that today. Let me say this upfront that not being in the ‘best’ mood all the time is not unnatural in fact being happy and upbeat round the clock would actually be a problem from where behavioral psychologist see. Is there a pre-requisite for being happy? Or do happy people go through a certain set of circumstances? Or are they particularly tough or skilled people? The fact of the matter is that all of it is untrue. It doesn’t require any special skill, talent, circumstance or inheritance to be happy. It is the element of ‘choice’ however that makes all the difference. Now, choices aren’t easy to make ... no matter how effortless they may appear from the surface. Broadly speaking good choices emerge from ‘acceptance and awareness’ and both of these vital constituents are not easy to tame but we do not have to worry about it for there is one simple thing which when practiced regularly can swing things in our favor that is “gratitude”. 


Gratitude changes perspective, it can sweep away most of the petty, day-to-day annoyances on which we focus so much of our attention: the “small stuff” situations that bring up feelings of impatience, intolerance, negative judgment, indignation, anger, or resentment.


Believe it or not .. this one thing makes all the difference. Have you ever seen pictures of children in stark poverty, deprived settings, playing with waste and yet glowing with the brightest possible smile? Have you ever wondered, why best poetry comes out of most difficult circumstances? It is because those people make effort to recognize all that is good even when surrounded with not particularly easy or comfortable situations. It is because they do not fixate on what’s not alright … but what is rather ok. They are thankful for all that is ok no matter how small or insignificant they may be. It is not easy to be thankful and admittedly so when things began to crumble, for instance, it is rather hard for a man facing death to appreciate all that care that the nursing staff in the hospital shower, but the hard fact is that those who do ..end up better. Such is life really .. you always will get two choices .. to be thankful or to be discourteous. Remember, not all that you get .. you thoroughly deserve .. some of the things that you proudly own are a result of others being kind and patient with you. Let’s say up on the side table of your bed like every other day you wake up to a cup full of your beverage of choice ( I’m a tea person and I would totally understand if you desire coffee) , the very first sip of it doesn’t go down too well with you .. nearly unbearable. How do you react to it? Do you say that this is the worst morning of your life and then snob the whole day, avenging .. that bad taste? Or tell yourself that .. this wasn’t the best tea ever .. but thankfully, it wasn’t nothing to begin the day with? If you hold the 2nd approach sensible you’d walk to the person who fixed that cup for you .. smile the pain away and then figure out what could have been done to make it better. Isn’t it? 


Cosmic truth is that things could not have been any different than they are in this moment – you can beat yourself to death, but it won’t change a thing. Sun will rise at its time and in the precise position it must to sustain life on earth. Things just happen .. now please do not bring that .. be the change .. and make it happen argument .. what we are discussing here is something way more fundamental, deep and meaningful, certainly not transactional in any sense. We’re trying to explore the belief system on which .. all resolves spring out of. So you .. keep your horses tied in the stable for a little longer and listen in.  Look around .. observe .. close your eyes and think would your life be the same if some or all of those things were not there? And when you do it .. you do not have to consider that last argument that you had about a thing .. or a person. Emotional outburst mess with your judgment system getting you to choose near-term good over long-term goodness. Life happens over an extended period of time .. some of these temporary rifts do not really count. You gotta see the proverbial bigger picture. 


Assessment done with a cool and clear head will end in you knowing that your life will not be the same .. not as good as it is without those things and those people. With all their imperfections and faults they still count and make your life what it is today. You still would want them to continue being in your life in ways that you would desire. This realization is key. The next logical step from there is being thankful for it and after that everything else is a cake walk. Simple, tasty and of course more meaningful. Don’t you agree?


Accepting your life and being thankful for it doesn’t mean that you are surrendering to it and that you would not make attempt to better it. Some confuse, acceptance for submission, I’m here to tell you that it is not. In fact, opposite of it is true, those who accept their circumstance, stand stronger chances of improving it. Think of it like …shooting a target, the first step towards a great aim is a great sight, a clear one. If you do not see, you can’t hit it. Clarity is important. The pace of progress is swift in peace and peace comes from acceptance, therefore, sure way to get there quickly is knowing where you are now well enough. Making progress is the single most important thing that humans have come to master and it will only get better if happier humans .. did the human thing.


Happiness and gratitude are deeply related. Unhappy people are mostly unthankful ... think of 3 most unhappy people that you’ve met... and ask yourself .. have they displayed any traits of being thankful? I neither know you ... and certainly not those 3 people you are thinking of ... but I can, with a great amount of certainty tell you that they do not.


Being grateful helps.


People who experience the most gratitude tend to:

 Feel a sense of abundance in their lives

 Appreciate the contributions of others to their well-being

 Recognize and enjoy life's small pleasures

 Acknowledge the importance of experiencing and expressing gratitude



The bio-psycho-social-spiritual benefits of gratitude are immense, a plethora of scientific research has been done to establish it. It functions as an antidote for attachment to what we want but don’t have and aversion to what we have but don’t want. Gratitude is the opposite of being discontented.

I wish to end this year ... by thanking each one of you for being there and making my life what it is today. I wish and hope that in the coming year too we remain closely related and progress towards creating a better world for ourselves, a more prosperous and a happier one.

Politics : Betrayal on purpose or tactics of survival?



Every since I was small child _ I’ve dreamed of becoming a politician, no the aspiration hasn’t yet given me either all the skills essential for the job or an opportunity, neither have I left everything else to pursue it- while I certainly plan to take that big leap of my life, very soon ( very soon has been the expression since last lok sabha elections :)) 

Politics is by and large is a remark not liked – I won’t say hated but won’t hesitate in saying that most of us associate it with dirty, immoral , selfish acts to grind an axe ! Well, everyone is entitled  to their views, we are dwelling in a free country till the incumbent government chooses to de-list ‘freedom of expression’ completely. Without going into the literal meaning of the expression (which isn’t actually anything bad) or technical details of it – I shall try and explore the perception built around the expression and relate it with corporate world – 

Another year and a half and I would be a decade old in the  cruel world of corporate working and I’ve been hearing about office politics ever since I stepped into the first day of my career, may a times I have been a victim to it as well, sometime have been able to sense and avoid or let’s say protect myself too  - but this necessary evil has always co-existed with a million good things. No industry ( at least, I can talk for the trades I’ve worked for _ Telecom , IT , ITES) is immune to it , no company is politics proofed ( won’t name the concerns I’ve been associated with).

 It is widely known , sounds strange, but, yes, accepted too – many who practice it often give it fancy names – lobbying, teaming , protecting – god knows what not? So what is it ? Why does it exist , when people consider it distasteful, why does it still so prominently subsist?

 Here is my theory – People wish to climb the ladder of success without really toiling hard enough – short cuts are in great demand in this age were ‘anybody and everybody’ is running short of time!

 Like I said before – I’m not an expert on this for I’ve been facing it for quite some time, I think I can share my views and hence the theory.

 Most Workers end of day are creatures of flesh and blood who love to be appreciated, loved, noticed, given favours –– if we try and compare this number with people who would wish to earn all of this purely out of their skills, hard work, commitment, values and honesty – you would know the majority is of the former type – and hence malpractices at work are rampant.

 Let us accept that we are selfish to the word barring people we love ( love partners , closest pal & immediate family) –and I don’t think I would be wrong in saying that the wish to survive by those who are less fitted is the mother of work politics.
 Survival of the fittest is a universal truth and yes people engage in these malevolent activities to boost their possibilities of survival – in my limited exposure – I see three kind of survivors and it cuts across levels and department and nature of work and industries. 

I’m placing this category “ work well and thrive” at number one despite of it being the smallest group for I’ve immense respect and admiration for this group and it’s followers – These are honest people, who are punctual, who value their job, take even smallest of task given to them with utmost seriousness and deliver not just with mind but  also heart. These people are very easily identified for these would be outspoken, skilled and upfront , they keep creating values and their delivery does earn them special place in hearts and minds of their collogues  - those who engage in politics bad mouth them and because work politician form the majority , they wouldn’t have many friends at workplace. These people are backbone of every delivery system and their backs suffers the most from the work politics. Poor souls get into many rifts/debates/issues based fights at work.

 The second category “ work less and dream of thriving more” – this is the largest community within work space, averagely skilled and most dangerous for they can put up act of “working hard” – so well that even a hard worker when is subjected to their act begins to feel shy for the work that he/she puts in. You can’t detect these snakes easily because they mix well with the first category and befriend them ,  a very close observation tells me that they are often very sweet tongued, can do lip service like nobody, keep pleasing people, extending out of workplace favours. And yes, they are lairs! They may appear friend with people in 1st category but given quarter a chance jump in excitement to complain against them. They master the nag of delegation, love stealing other’s work and work best as postman -  Beware of them.

 The third category “ I won’t work , coz I can’t work – but wanna thrive”  _ this is  the community of fools & dumb chicks – then the question is how do they survive, BTW, these are second largest in numbers – connections, yes , they survive coz they establish some connection with people who occupy key positions – by extending favors both licit and illicit ones (if you know what I mean) – most of these are deployed moles, planted by those poor leaders occupying key positions to source information – “deliver who is talking what and about who and why”  - This is their sole KRA! And no, these are not honest even with their masters, the information that they deliver is often doctored  to suite their interest first and the purpose second. They are very easily detected , coz they are seldom found working and still they enjoy most of the monetary and otherwise perks at work.

 So this in a nutshell is the politics at work – spoken ill about by all, practiced by many and a harsh reality to those few who fall in its trap –
